Pension filings for transport companies: changes straight from Nmbrs
Pensioenfonds Vervoer, the Dutch pension fund for the transport sector, has no automatic integration with payroll packages, so transport companies with many on-call workers process dozens of changes by hand every month. We built the application that takes the changes from Nmbrs, prepares the filing and gets the file ready for the pension fund.

The question
What it was about
Every month new employees, leavers and changes in hours and wages have to be reported to Pensioenfonds Vervoer. Without an integration that means exports from Nmbrs, merging in Excel and entering everything by hand on the fund's portal. For companies with many on-call workers that adds up to hours per month, and every correction afterwards costs time and money again.
What we built
The solution
A Windows application that retrieves the data per company directly from Nmbrs via the API: employees, employments, hour codes, wage components per pay run and wage tax return data. Large administrations are processed in the background via the Nmbrs report service.
Logic that recognises by itself which changes have to be reported to Pensioenfonds Vervoer and that builds the filing and the changes in the file format the fund accepts, so the file can be uploaded straight away.
A record of what was submitted when (audit trail) and a built-in help that describes the steps and the Nmbrs data used, so staff can use the tool on their own. For taxi companies there is a separate version on the same basis.

The tool is configured for the company and the data in Nmbrs and at the fund are checked for consistency.

Changes and the filing are recognised and built automatically, with a check for missing values.

The file is uploaded to Pensioenfonds Vervoer; the submission remains traceable.

A monthly job of hours becomes a matter of minutes, even with many on-call workers.
The same data as in the payroll administration, so fewer corrections afterwards at the fund.
